Your role

The Protocol Support Officer provides support to the Ministry of Foreign Affairs and Trade’s Protocol Division in the area of diplomatic and consular privileges and immunities. This role is at an intern-equivalent level position which is part-time (15 hours per week) and is remunerated accordingly. It would suit a current tertiary student with an interest in international relations.

The role includes:

  • Administrative support to the team of Protocol Advisors.
  • Manage and process departure documentation for foreign diplomats, including updating internal records, updating the official Diplomatic and Consular List on the MFAT website;
  • Process domestic student status applications;
  • Process car forms for foreign diplomats applying for and removing diplomatic license plates;
  • Provide document management support for the Unit;
  • Assist Protocol Advisers with calculating and processing rates refunds for diplomatic missions/posts;
  • General research for members of the Protocol Division

Training, development & rotations

MFAT provides study assistance to build staff capability and recognise that work-relevant study is an important aspect of development. Staff with an interest in this may apply through their manager for study assistance which will be assessed on a case-by-case basis.

The appointment range for this role is MFAT Band for Interns NZ$43,793 - NZ$50,362.

About you

Here's what we are looking for in this role:

  • Applicants must hold New Zealand citizenship.
  • Applicants must be able to obtain and maintain an appropriate New Zealand Government Security clearance.     
  • Applicants should be able to demonstrate very close attention to detail.
  • Excellent IT skills including competence in the use of Microsoft Excel.
  • Ability to work methodically in close coordination with the team of Protocol Advisors and other colleagues.

Day to day responsibilities is heavy on reporting and writing responses to OIA's and Ministerial. Could do with more work specific on briefings etc.

Cons

    • It generally takes 4-6 years to go on posting.

    • The pressure and demands of the work. Often longer hours are needed to get the work done.

    • There is a strong culture of overwork.

    • Lack of social connectedness in the workplace, very hard to start work here with so much institutional knowledge.

    • The level of support from your team varies throughout the ministry.
